Supplier samples: what GCC buyers should confirm before commercial review
A practical checklist for GCC buyers reviewing supplier samples before comparing final quotations or moving toward a commercial decision.
By MEDL International Business Relations
A supplier sample is ready for commercial review when it answers whether the product can meet the stated requirement—not simply whether it looks acceptable. Before comparing price or discussing an order, the buyer and supplier should agree what the sample proves and what still remains open.
What to confirm with the sample
Use this checklist before treating a sample as a basis for a commercial decision:
- Is the sample identified clearly? Record the supplier reference, version, material, dimensions, finish and any drawing or specification used.
- What is the sample meant to prove? It may demonstrate appearance, function, fit, material or workmanship. Do not assume one sample proves every requirement.
- What differs from expected production? Ask whether the sample uses the same material, process, tooling, finishing method and quality checks as a repeat production run.
- Which points require approval? Separate accepted features from open questions such as tolerances, packaging, testing, labelling or delivery preparation.
- Who makes the decision and by when? Confirm who on the buyer’s side will approve the sample and what the supplier needs before issuing a final quotation or production plan.
A hypothetical example
A Bahrain buyer receives a sample from a Turkish manufacturer. The finish is acceptable, but the sample was made with a different material and does not show the proposed packaging. The right next step is not to treat it as fully approved. The buyer can record the accepted finish, request confirmation of the production material and ask for the packaging detail before comparing final offers.
This keeps the sample review connected to the commercial decision. It also makes later supplier quotation comparisons more reliable and helps clarify what should be reviewed during a supplier visit to Türkiye.

Next step: send the supplier a short sample-approval note listing what the sample confirms, what it does not confirm and the date for the next commercial decision.
